September 2023 Board Meeting Minutes

MINUTES

The meeting was called to order at 4:00 by Elliot Barenbaum, President. 

I. Board Attendance

II. Minutes approval from the July 2023 meeting.

III. Reports: 

A. Treasurer

  • Club is in sound financial condition and should end the year with a positive balance. 

B. Technology Co-chair, Webmaster - Anne Squire

  • New Registrar volunteer: Joanie Boyle
  • New Event Coordinators will be trained in last September: Molly Clopp & Kathy Devine

C. Trail Steward -  Larry Barclay

  • From Jan. 3, 2020 to Sept. 3, 2023 volunteers, club members as well as many non-club members, have contributed one thousand sixty three (1,063) hours to Rossmoor trails maintenance, upgrades and new trails.  

Thank you volunteers.
  • For perspective that represents a person working 8 hours a day for 133 days.

  • Al Peters, Treasurer, passed along Larry's request for $100 to purchase re-bar to strengthen steps not completed by GRF.

    Request approval by the Board. 

D. New Members - Jean Fiske

  • Total Club members as of the end of August was 385, a new high for the year.
  • 26 New Members - July and August
  • 14 in July: 
    • (7) Amblers (6) Ramblers, and (1) Trekker
  • 12 in August: 
    • (8) Amblers, (2) Ramblers, (1) Scrambler and (1) Social
  • July New Member Orientation
  • About half of the 51 new Trails Club members joining the Club between March and June attended a gathering on July 24 in the Club Room at Creekside.
  • Anne Squire coached them on using the website, answering many questions.
  • Harriet Schwartz provided advice on hiking safely with proper preparation and on how to choose trails and prepare to lead hikes. Several long-time members attended, seating themselves with new members, answering questions and helping the newbies to feel welcome.
  • Jean is seeking ways to integrate new members and make them feel comfortable.
    • Stanley suggested that new members might find that joining hikes would likely help them meet members.  
    • The TCR Annual meeting was suggested as an opportunity to recognize new 2023 members.
    • New members might find that volunteering to help with the Annual Meeting would enhance their "on-boarding".

IV. OLD BUSINESS

  • Initiating a Volunteer Trails Club Group - service to Land Trusts and Open Spaces. Elliot will continue to work on this.
  • Membership Procedures, Policies and Guidelines Committee report.
    • 51% approval needed and must be dated an retained in the Board Binder. 
    • A revised Hiking Signup Form, with updated Incident Report section and instructions, was reviewed and discussed.  Adoption of this new form was voted and approved as revised by the Board.
  • July 13 First Aid Class
    • Kudos from Board and members present. 
    • Harriet suggested that all members participate in a First Aid Class.
    • Discussion of possibly offering a CPR class.

III. Member Forum

  • Clarification on purpose of the Members Forum: provide members an opportunity to speak to the Board.
  • Diddo Clark expressed an interest in leading hikes.
  • Idelle Lipman would like the Board to address recent e-mails seemingly unrelated to the mission of the Trails Club.
  • Lynne Forrette commented on recent e-mails. 
  • Harriet further commented on the 2016 issues regarding inappropriate use of emails.
  • Anne Squire endorsed the brevity of hike descriptions.
  • Carol Walkling emphasized that we are here to HIKE!
  • Elliot recounted, in detail, his communications with Diddo.
  • Stanley's Maleski moved that the President schedule a special meeting a week from September 13th to consider cancelling a member's membership in the Trails Club.  And that the president notifies the member of the time and place of the meeting.

III. New Business

  • Cambria Safari Update
    • Orientation meeting for registrants will be Oct 5, 7-8:30, the Club Room at Creekside.
  • Annual Meeting and Pumpkin Carving Contest - October 24.
    • (Please submit pictures from 2023 hikes and activities to Mark Forrette so he can build the slideshow).
  • Adoption of Voting for Policy, Procedures and Guidelines
    • Proper and improper use of the email directory (incorporated in membership procedures, policies and guidelines).
