SAFARI PLANNING and PAST TRIPS

The Trails Club aims to have three or four Safaris in a calendar year.  If you are interested in planning a Safari, the first step is to put together a small group to assist in the researching accommodations, hikes and other logistics.  Please be sure to read over the Safari Guidelines approved by the Board in 2016.

Next, write up a Safari Proposal and notify Secretary you wish to appear on the Board Agenda. Proposals should be presented to the Board at least three months in advance. Safari Proposals must include a brief description including name of hosts on the planning committee, dates, location, lodging with room descriptions and pricing plus cancellation policy,  food/meal info and where hikes will potentially take place.  Only lodging contracts approved by the Board and signed by the Club President are valid.

Once approved, notify the Webmaster so the Safari information can be added to the Club's online Event Calendar. The Safari Coordinator(s) need to schedule time with the Webmaster to develop the online registration protocol and email notifications' schedule.

Prior to the Safari Orientation meeting, the Safari hosts should develop a list of area hikes for each group and identify hike leaders. Leaders must commit to arriving at least a day earlier than the start of the Safari, in order to scout their chosen hike, finalize driving instructions, etc.  Final hike plans should be compiled on the Day at a Glance Safari Schedule.

Finally, email a request to the President to reserve a room for a Safari Orientation meeting 3-4 weeks prior to the Safari and notify the Webmaster to add to the Safari Calendar and email out notices. The Webmaster can work with Safari Hosts to create a PowerPoint presentation for use during the session.
