Meeting opened at 4:00 with Roll call and Review OF the Agenda: Anne

APPROVAL OF MINUTES PRIOR MEETING: Anne

Discussion concerning items needing approval to be clearly stated and voted on.

Minutes approved for May with the addition that approval was granted for purchase of new microphones

REPORTS:

Summer Party, July 18: Rich Kinsey discussed the sound system with 3 hours of recorded music, the colorful decorations purchased, the volunteers scheduled to arrive 2 hours early to help set up. Rich will submit a required form, invoice and receipts for reimbursement of payment to caterer, and purchased drinks,etc., all within budget. Also he noted that recycling bins will be in place for bottles and cans. Food waste bins will also be in place.

Treasury: Al Peters presented report of income and expenses for six months ending June 30 and noted that expenses are less than budgeted for the first half of the year.

Club Membership, Jean Fiske reported that 62 new members joined in the first half of the year and total membership is now 375 people.

Jean has resigned her position to concentrate on other volunteer organizations. She was applauded for her work as new member coordinator.

Trails Steward, nothing to report.

Holiday Party, December 12:

Caterer and DJ have been selected and menu decided. Many thanks to Kathy Devine for managing the Holiday Party Committee meetings; Jacky Pooulson and Stanley Maleski for their work with the caterer, Jacky for finding a Rossmoor DJ and Gloria Sunshine for many helpful suggestions. Contract will be approved at the September meeting.

Safari Planning Updates

Fall, 2024 - Monterey, CA: Contract still in negotiation for October

Spring, 2025 - Chico, CA: first week in April

Summer, 2025 - July 21-July 26: Sisters, OR:

Tentative itinerary presented and prices for lodging will be presented in September for approval.

Mary Smith is co-host along with Don Barber, discussed details of travel, lodging, hiking trails, and permits required. More details and contract to follow in September.

MEMBERS FORUM: Anne

Members asked if we should raise driver reimbursement fees. One group does not have enough drivers and higher fee might encourage more volunteers. It was decided to keep relying on the current chart that has formula for driver reimbursement.

OLD BUSINESS:

May 20: Newcomers’ Orientation was held at the Dollar Picnic Grounds. 15 people attended the outdoor gathering and it went well with presentations on Club organization, hiking protocols and hiking gear. Thanks to Jean Fiske and Harriet Schwartz for organizing.

Jean suggested that outdoor format be continued in the future but than additional sessions be scheduled for training on the club’s calendar and website.

June 4th Potluck was a success. Thanks to Stanley & Janet Maleski and their crew of helpers plus Amy Daniels and Cindy Levy for leading songs and playing guitar following dinner.

June 6 Club Fair resulted in several new members signing up. Thanks to volunteers who manned the table (Harriet Schwartz, Arlene Kahn, Mary Smith, Marcelle Welch, Elliot Barenboim, Jean Fiske, Sue Margolis and Joanie Boyle).

Potential Club contribution of budget surplus to area park foundations will be further discussed at the next meeting.

NEW BUSINESS: Anne

Several outdoor audio systems and wireless mics have been purchased and are being tested and one set will be retained for our use. It was noted that purchase was necessary since GRF is no longer providing outdoor audio systems for clubs.

Board approved concept of purchase without specifics via email since need was identified prior to this meeting.

Possibility of adding a Club policy to allow President to utilize discretionary funds for this type of expense and what the dollar limit should be was discussed. Anne and Al Peters, Treasurer, will present a proposal at the September meeting.

Nominating Committee will convene in July. Reps were reminded that they need to find their own replacements if their two year term is up.

Half year dues are now in effect for the remainder of the year.

Sign requested from GRF to hang near our Gateway meeting place is now reality!

Last Hike Party could be reformatted to "Recognition" Brunch and moved to November 14. Those who will be honored to be determined but probably include support volunteers, event hosts, quarterly captains and hike leaders who lead more than (4) hikes a year,

Board approved setting an age limit on guest hikers to 18 and older with the approval of the hike leader.

Should Club help Sustainable Rossmoor promote POP24 initiative to members? POP24 recruits volunteers to phone bank and/or postcard for EVP initiatives on the November ballot.

Discussion centered on having flyers from any Rossmoor organization approved by the Board before distribution at Club events.

New wireless mics: Harriet got a recommendation for the purchase of GRMS radios and demonstrated how easy they are to use. She will demo for hike leaders when they pick them up at Gateway each hike day.

Anne will send out an email to hike leaders on use of new mics.
