  • Note: it has been confirmed that the garden group is not an official part of the club. They operate independently so no further action is needed.
  • Motion to approve minutes from May Board meeting as corrected.

    Reports:

    • President’s Report: Mary Smith

      • Mary and Lori worked on room bookings for 2027. Harriet will be conducting the Hike L

        eader and First Aid class on August 18 which will be confirmed with the reservation system.
      • A donation of $250.00 was sent to Save Mt. Diablo. Thank you to Adrienne for handling this and for confirming the date for our 2027 work day on May 17, 2027.
      • At the Club Fair on June 4 information was passed out about membership and club activities. Helpers at our table included Kris Carey, Lori MK, Ellen, Mai Tran, Sadako Urabe, Lois Zell, Nancy Verner and Mary. Many thanks to these volunteers for getting the word out.
      • Following up on recognition of Mark Forrette’s work for the club, thanks to Adrienne for sending our gift to Lynne in Mark’s memory.
      • Agenda items for our Annual Meeting is being prepared which include the slate of new board members, and budget for 2027.

    Anne noted that the club’s bylaws require that the full slate of board members be sent to the membership by September 27.

    • The Board approved the purchase of a club tile to go into the new Ceramic Club mural. Lori Wong and Mary Smith selected the tile’s location on the mural and she and Nancy Yu are following up on the design. Lori shared updates on the project.
    • Treasurer’s Report - Al Peters
    • A review of the July financial reports showed net assets o $15,920.60. 
    • Al submitted to the IRS the California State forms and the club’s Articles of Incorporation for the club to be recognized as a 501c7 social club with the IRS. The club’s status as 501(c)(7) allows our organization to avoid paying federal income tax on member-derived revenue like dues and fees.
    • A motion was approved to accept the budget report.
    • Group Rep Reports
    • Amblers- Lena reported that hikes are going well. She initiated a discussion on reimbursement to drivers for gas and entry costs. Anne suggested that we could review the formula for reimbursement. Lori reminded us that the reimbursement for a driver be included on the club’s calendar.
    • Ramblers—8 new ramblers came into the group and Harriet is doing a great job in recruiting hike leaders.
    • Trekkers-Jackie and Adrienne have led hikes but hikers are not often turning out for Wednesday hikes. Doug leads hikes on Saturdays. We have to encourage people to participate to maintain the group. Anne noted that we would hate to get rid of a group because it really feeds a need and we can possibly encourage Ramblers to join this group.
    • Scramblers- Sue noted that a few people stepped up to lead hikes.
    • Membership Update
    • Lori M-K. Noted that 26 new people joined since May.
    • Training/Safety
    • There will be a new member orientation on August 18 from 2:30 to 4 PM in the Fairway Room led by Lori, Harriet, Anne and Mary. The previous session was well attended.
    • Harriet reported that on August 18 the session will include first aid training and a discussion on how to lead a hike. Additional information will include how to share location, medical ID information, and the resources available on the club’s website. Anne will set up the agenda.
    • Harriet also emphasized the need to use radios on hikes and to carry the first-aid kit.
    • Publicity
    • The ice cream social and picnic event for August 20 was posted in the Rossmoor News.
    • Website/Tech
    • Anne reported we are paying a fee of $6 for sending text messages and asked the Board to think about formulating a policy for our text message usage or decision to drop the service.
    • Outdated Rossmoor Trail maps are being handed out at Gateway. Anne provided a draft of the updated map to GRF.
    • Anne attended an Activities Council Meeting that included discussion of use of websites for individual clubs, and also presented the new Rossmoor website. Anne noted that the Trails Club website is well-used by club members. The Council is thinking about better ways to serve the clubs.
    • Events
    • Future events Kathy
      • August 20 Picnic, Potluck and Ice cream social. Linda Barth will lead the team with Phyllis Jacobs and Edie Hottinger. Music and ice cream will be included. We will be arranging our own tables at the picnic site.
      • October 27 Annual Meeting, potluck and pumpkin carving contest. Mary and Lori will be organizing the event with support from Molly Clopp and Kathy Devine.
      • November 12 Notable Volunteers—Mary Smith and Anne Squire
      • December 10 Holiday Party Shirley W. The catered has been selected.
      • December 19 Last Hike Party 
        • A motion to cancel the party has been approved.
    • Safaris
    • Mary is planning a Ft. Bragg/Mendocino safari. It will be limited to 35 hikers. Mary presented the details on the hotel and hikes available on the coast. The motion to accept the safari was approved.
    • Anne is proposing a safari to Yosemite Valley. We have not been there since 2010. The safari will be held in November during the week prior to Thanksgiving. The motion to hold a safari in Yosemite was approved.

    Motion accepted to adjourn at 5:15 PM.

    The Annual Meeting will be held on October 27th in the Fireside Room.

    The next regular Board meeting will be on Wednesday, November 11th at 4:00
